POSITION: Secretary to Executive Director
SUPERVISION: Executive Director
REPORT TO: Executive Director
JOB DESCRIPTION:
- Manage professional and personal scheduling for the Executive Director, including agendas, mail, email, phone calls, visitor management, and other organization logistics. Serve as a point of contact for the Executive Director.
- Handle sensitive and confidential matters, ensuring that matters are handled by the responsible person within due time.
- Manage travel logistics and activities, including accommodations, transportation, and meals for the Executive Director.
- Ensure accuracy, integrity, and tidy of official documents in compliance with the organization’s standard prior to approval signatory as well as prioritize document according to its urgency.
- Maintain and update filing system and contacts database.
- Maintain professionalism and strict confidentiality with all materials.
- Organize team communications, maintain good relations with both internal and external parties.
- Be a part of the innovation culture at the school.
- Undertake other duties as assigned.
PREFERRED SKILLS AND QUALIFICATIONS:
- A Bachelor’s degree or a Master’s degree in any field or related fields is required
- At least 3 years of work experience directly related to the duties and responsibilities specified
- Proficiency in Microsoft Office programs
- Good English Communication Skills
- Problem-solving skills
- Strong negotiation skills
- Detail-oriented
- Ability to prioritize and manage multiple deliverables
- Experience in overseeing budgets and expenses
- Experience in developing internal processes and filing systems
KEY PERFORMANCE INDICATORS:
- Annual Satisfaction Survey of executive and faculty members higher than 75%.
- Effectiveness, efficiency, and responsiveness of scheduling, emails, phone calls, handling guest and logistics.
- Timely and effective communication and information dissemination to the team.
TERM OF APPOINTMENT:
- There will be 3 – 6 months of probation, followed by a thorough performance appraisal.
- The position will be on a 3-year contract, with the possibility of renewal subject to an end-of-contract assessment.
